This is a monthly e-newsletter that will target business owners and executive issues as it relates to today’s business challenges from a coaching perspective. How To Get Organized And Dramatically Take Back Wasted Time

 

Do you constantly seem to run from one task to another, always wishing you had more time to accomplish the many “pressing” things you have to do? If so, getting organized is the key to stopping the insanity! Here are some various methods of how to get your life organized, prioritize tasks, and actually take back wasted time and effort. You “can” be in control of all the demands placed upon you and the time it takes to accomplish them.

 

Its amazing how much time is actually wasted without you realizing it. Constant interruptions and poor planning are the areas that significantly contribute to lost time. Everytime you are interrupted you must stop what you are focusing on, refocus on the interruption and then refocus back on or original task. This all takes time and momentum takes time to build up as well. More time than most people realize as the human brain takes time to actually build up maximum concentration abilities. How many times have you asked yourself….”now where was I”, and had to conscienceless get back to the point when you were interrupted.

 

So how can you minimize unnecessary interruptions…here are a few examples:

  • Keep your office door closed and instruct your colleges that you are not to be disturbed unless it is an extreme situation that needs to be handled right then and there and by no one else.

  • Have all your call screened by an assistant or phone mail and check on messages at various intervals

  • Speak with your spouse/significant other about this area and work out a solution not to call you except at certain intervals or extreme emergencies while you are at work. Or even better, you can arrange for you to call her/him at certain times.

  • Empower your assistant with more responsibilities and accountability to free yourself up to work on the more important issues. This is accomplished though active analysis and prioritization of the various areas that make up your business responsibilities

  • Read emails only at specific intervals and snail mail as well. Try to handle paper and deal with emails only once if possible and never more than twice.

  • Become extremely organized so you are not searching though papers and emails in order to find something you need.

 

The second area that is paramount to time management is “Planning Your Work”, and “Working Your Plan”. Without this key ingredient, you are sure to lose “a lot” of time in your day. If you have the ability to schedule out your day and keep to that schedule you will be amazed how much you can actually accomplish!

 

I personally use the Franklin Quest Planner System. This system allows me to priotize all my tasks through an A, B or C system depending on their importance and or urgency to get them accomplished. You can then schedule these tasks into specific times during the day in order to get them accomplished. The planner system allows for changes to the schedule and also allows you to track the changes. Much of your current business information is one place as well that you can even carry with you on appointments. This planner is available in a paper and an electronic version. You can even have it synch to a smaller mobile unit such as a palm Pilot.

 

When I was director of Casino Operations for Norwegian cruise Line, I had Franklin Quest come to one of my yearly conferences and give a workshop on how to use their planner for the most effectiveness. The workshop was presented to the entire management of the Casino Operations both from the corporate office and on board the cruise ships. We then gave planners out to all these managers. The effect I must say was significant. Although not all the managers embraced the program, those who did, (about 70%), became much more efficient in their job and welcomed the change as it reduced their stress levels, and gave them more free time to dedicate to other areas.

 

What ever planning system you do, weather the one I use, another similar system, or you create your own, I challenge you to “Just Do It”!! It will make a world of difference to getting the time you need for those areas that are the most important to you.

 

Many times I have spoken with clients and fellow business owners and 7executives telling me that they have done these things but have not stuck with it. This is a key area. For any system to work, extreme discipline is paramount. It must become a habit. Like working out, dieting, or mastering something new, it takes work. Your mind set must be set that it is just not an option to “not do these things” as I want, need and demand to have more time in my life. Set up a support and accountability structure to help you achieve this goal. Work with a coach, or a fellow colleague or even your personal partner. Reward yourself every day you work your plan. Keep going and when you begin to slack off, ask for more help. Eventually, you will have all the time in the world or at the very least all the time that you truly need!   • Know Your Outcome (Clarity is power) – Be as specific as possible.

    • Directs brain what to notice

    • Main purpose of life is not to just achieve outcome, but to grow as a person

  • Know Your Reasons Why – Why is it a must

  • Take Massive Action – People are rewarded in public on what the practice “massively” in private

  • Know What You Are Getting

    • Sensory Acuity – Pay close attention to see what is working

    • Communication most important

  • Change Your Approach – If you are not going towards your desired outcome

    • Keep changing until you achieve your desired goals

    • Mirror or find other who have already mastered your goal to compare & measure performance

    • Failure is the opportunity to learn, and to grow

    • Fall down…..Get Back Up…..Fall Down….Get Back Up…..Do Not Ever Quit

  • Detach From the Outcome

    • Detachment allows you to not force solutions on problems, thereby creating new problems

    • Willingness to accept uncertainty, solutions will spontaneously emerge out of problems

Detachment allows all possibilities to occur
