Effective Communication Is Not Impossible

As a person who holds a business leadership position, whether you are a corporate executive or in middle management, it is important to clearly communicate your message to others. If you are being misunderstood or are consistently repeating your instructions, it may simply be because you have not effectively communicated what you were trying to say. As a former manager and even through my role as an executive coach, I discovered that delivering clear, concise information which is completely understood by others can be extremely challenging.

Let me share an example of this with you. In the past, I worked on a cruise ship as a Casino Manager. On one particular day I was explaining to a Filipina Stewart how I needed the casino cleaned. English was the Stewart’s second language so I tried to make especially sure that he understood me by going into great detail about the tasks I needed performed. I spoke slowly and asked whether he understood me. He smiled and nodded his head continuously, indicating to me that he did understand. When I came in the next day however, the tasks I asked him to perform had not been completed. In retrospect, I realized that I had not communicated my intended message effectively.

The 5 Senses:

Our thinking consists of these images, sounds, feelings and usually to a lesser extent, tastes and smells. These senses include:

  • Visual – Sight
  • Auditory – Sound
  • Kinesthetic – Touch
  • Olfactory – Smell
  • Gustatory – Taste

The 7-38-55 Rule

In a study completed at UCLA which broke down communication in 3 forms, the influence of human behavior (understanding) is demonstrated in the following percentages:

  • Your actual spoken words account for 7%.
  • Your voice, tone and inflection accounts for 38%
  • Your body language accounts for 55%

Mirroring

Mirroring is the ability to match others in order to establish a rapport or connection. Studies have shown that by subtly copying the person with whom you are communicating in such ways as tone, tempo, volume, contact, breathing, and body language, you are able to connect to their subconscious and to help them gain a deeper understanding of the message you are trying to convey. We all respond best to people we can relate to or to those who are like ourselves in some way. By using the techniques offered through my business coaching services, you will learn how to use mirroring to better the flow of communication and understanding within your organization.

Language

Much like the mirroring technique, you can use the art of language to allow your message to be more effectively received by your audience. Not in terms of one distinct language versus another but instead by using like terms to ensure the person with whom you are speaking can relate. For instance, if the person you are speaking to uses words like “man”, “outstanding”, “right on”, or “gotcha”, you can then use the same words in your communication to him or her. By using like terms, they will understand your message more clearly because they can relate to what you are saying.

Repeat Factor

One of the best ways for you to know that your message was clearly understood is to simply ask the person to repeat the message back to you and explain why he or she feels it is relevant to the current situation. As your executive coach, I will teach you to use this important technique to open the lines of communication in your organization and how to use it to your advantage.

Awareness

Simply taking the time to plan the specific message you want to convey and how you plan to deliver it will greatly increase your ability not only to become an extremely good communicator but also to help others communicate more clearly as well.
